Ideal For

Australian agricultural co-ops, rural wholesalers, or regional distributors on MYOB/Xero with Access/FileMaker databases and spreadsheet-based processes.

The Problem

Regional agricultural co-ops typically run a patchwork: MYOB AccountRight for financials, a Microsoft Access or FileMaker database (often 10-15 years old) for inventory and member management, spreadsheets for seasonal pre-orders, and paper-based processes for member rebate calculations. The Access database crashes regularly, can only handle one concurrent user, and is understood by one or two people.

Month-end close takes 10+ days because data lives in multiple disconnected systems. Seasonal complexity is the hidden challenge: farmers place pre-orders 6 months ahead, the co-op must manage forward purchasing to lock in pricing and supply, and this entire workflow lives in interconnected spreadsheets maintained by a single procurement manager.

Our Approach

NetSuite implementation with financials (GL, AP, AR with Australian BAS reporting), inventory management (lot tracking for chemical products with mandatory expiry date management, bin management for warehouse), CRM module repurposed for member management (co-operative shareholding records, member classification tiers), and advanced procurement for seasonal forward purchasing (purchase orders with scheduled receipt dates, committed cost tracking, supplier contract management).

Data migration from MYOB (8+ years of transaction history), Access database (member records, inventory history), and spreadsheets (pre-order commitments). Custom NetSuite scripts for annual member rebate calculations - tiered rates based on total purchases, paid as credits against future orders.

Celigo integration for Employment Hero payroll to GL (mapping pay components to correct accounts across multiple cost centres), weighbridge system API (trucks weigh in/out, weight data flows to NetSuite for invoicing bulk products sold by tonne), and automated CBA bank feed for payment matching.
